With digitization, authorization flows and activity reporting can be simplified, eliminating the inefficiency associated with paper-based document management.

The dematerialization of PA

Here’s how Giuseppe Monda, head of Netgroup’s Delivery B.U., will explain our involvement in a key project for dematerialization in public administration.

In operational facilities, personnel management activities and procedures require approval through specific documents. These documents, drafted and signed by those responsible for the process, such as serving military personnel, applicants or commanders, are essential to ensure proper management.

To optimize this critical process, an advanced document management system has been implemented that improves document creation and approval. It automatically recognizes the role of users, providing a customized interface adapted to the current state of work.

Through this structure, any authorized user can:

A new document process, entering the necessary information on the document

APPROVE

And validate documents in which he is designated as approver, using an advanced electronic signature

RENDICT

The activities performed, relative to the documents in which he is involved

To ensure this dematerialization process, a web-based platform accessible remotely via web browser and a mobile app for approval from mobile devices was created.

In addition, to meet the need for printable copies of documents, PDF templates have been developed with an electronic mark (“Glyph”) that contains all the information in the document. This marker is electronically signed to ensure its integrity. Special software allows this to be scanned to certify its suitability.
